Prepare statements and pay vendors

Review a month, check what is available to pay, then record the payments you make.

The month-end sequence

1. Review activity and monthly fees

Open Month-end in Tillgrove. Choose the month and vendors you want to review. Check recent Shopify sales and refunds, then resolve any items marked for review.

If your agreements include monthly fees, select Review fees, check the preview and select Post fees. A saved fee setting does not silently charge a vendor each month. Check the amounts before posting.

2. Issue statements

Select Continue to statements, then Review statements for your selected vendors. Check the cutoff, sales, refunds, fees, payments and remaining balances. Dates use the shop time zone shown on screen.

Select Issue statements, then open or download their PDFs or CSVs. An issued statement keeps the balance as it stood at that cutoff. Later transactions do not rewrite it. Issuing a statement does not send money, record a payment or send a statement email.

If earnings are held for returns or the payment minimum has not been reached, the amount available may be lower than the vendor's total balance.

3. Check the current payment summary

Review the current amounts available before sending money. A refund or another payment since the statement cutoff can change what you should pay now.

Export the payment summary if useful, then pay vendors through your existing bank or payment service. Tillgrove does not transfer funds.

4. Record completed payments

After a payment succeeds, record its vendor, amount, date and reference in Tillgrove. Record only the amount actually sent, including partial payments. Find saved records under Payment history.

Vendors with account access can see their own statements and recorded payments. If a refund arrives after payment, it reduces their next balance. See the worked refund example.

If something looks wrong

Check the original sale's owner and share, discounts, refunds, return holds and earlier payments. Changing an agreement affects future sales. Use a correction only when you can explain and document the difference.
